Overview

Expense Re-imbursement module is available on Vibrant Web Refresh dashboard. Vibrants should use this module to claim re-imbursement of business-related expenses. For example, expenses for travel or food. All active V2 Vibrants can only apply to past dated expense re-imbursement with valid receipts (if any).

Employee Re-imbursement Form

On Vibrant Web Dashboard, you can manage your Expense Re-imbursement through Expenses Section.

  • Click on Expense > New Request.
  • Three tabs- New Request, Draft and Submitted are visible. These tabs help vibrants to add new request, save any new request as draft, view/edit draft requests and view all submitted requests.
  • Any vibrant who wants to claim expense re-imbursement has to fill up all required details in Re-imbursement Title, Client Re-imbursement (if the expense is to be given by client and not the organization), Client Name, Currency, Cost Center and Approver. Please Note: There is a drop down menu available in Approver section. You have to select your Reporting Manager from the same menu. In some cases, if the approver is someone else apart/above the Reporting Manager, select their name from the menu.
  • Further, fill up details like Receipt No, Expense Date, Expense Category, Amount and comments (if any). Also, upload the soft copy of the receipts. You are required to upload soft copy of original receipts (for example restaurant bill etc.) In case you have received the receipt in a soft copy, the hard copy need not be submitted to Finance team.
  • User has facility to add multiple records in single expense request. Icon as (+) will add five blank records to users grid only when he/she is filled already available five records in grid.
  • Once the request is raised by any vibrant, it gets assigned to its Approver. Once approved, the request moves to finance team. After the approval of Finance team, the vibrant is requested to submit the hard copy of expense reimbursement request and original receipt/bill copy to the finance team to get reimbursement.
  • For US Vibrants, only soft copies of expense receipts need to be uploaded in the form. Hard copy of expense receipt is not required to be submitted to Finance team.
Note:
  • Once the request is approved by Finance team, system generated mail is sent to the user. Expense request print copy along with original copies of the bill has to be submitted to Finance team. Only then, the re-imbursement process is completed.
  • If the request gets rejected by the Approver, the user can view/edit the request again in their section.
  • For soft copies, only JPEG, PNG and GIF files can be uploaded.
      System generated communication:
    • Requester submits expense request: Approver and Finance team gets notified by system generated mail.
    • If Approver approves the expense request -> Requester and Finance team gets notified by system generated mail.
    • If Approver rejects the expense request -> Requester gets notified by system generated mail.
    • If Finance team approves the expense request -> Requester gets notified by system generated mail.
    • If Finance team rejects the expense request -> Requester gets notified by system generated mail.
